Important PTO Rollover Policy Information

They new year is upon us, and with it comes the PTO Rollover for 2020. CleanSlates’ policy will allow employees to carry 80 hours of PTO into the 2020 calendar year. 

UltiPro will process and rollover PTO hours during the pay period beginning 12/30/2019 and ending 01/12/2020. You will see the adjusted balance with your rollover amount in the 1/17/2020 paycheck.

Please see below the following examples of how this rollover will work:

Example One:

Employees who have over the allotted 80 hours, and who do not have PTO scheduled during this pay period:

  • In this example, we will say that the employee’s available PTO hours shown on paycheck dated 1/3/2019 is 100 hours.
  • The pay-period closes on 1/12/2020 and payroll is processed on 1/13/2020.
  • During the processing of payroll, UltiPro resets the employees PTO balance to the maximum rollover amount: 80 hours, meaning the employee forfeits the excess 20 hours of PTO.
  • The employee’s normal accrual amount is then added to the carried over hours. In this example, the employee’s normal accrual amount is  7.3846 hours. Your individual amount accrued will be based on your years of service and hours worked, it may vary from the example given.
  • The final balance that will show on the employee’s paystub or direct deposit advice in this example will be 87.3846 hours.

Example Two: 

Employees who have over the allotted 80 hours, who do have PTO scheduled during this pay period:
  • In this example, we will say that the employee’s available PTO hours shown on paycheck dated 1/3/2019 is 100 hours, and that they have 8 hours of scheduled PTO for this pay period.

  • The pay-period closes on 1/12/2020 and payroll is processed on 1/13/2020.
  • The 8 hours of PTO scheduled for this pay period is then deducted from the 100 hours beginning PTO balance, leaving a new balance of 92 hours.
  • During the processing of payroll, UltiPro resets the employees PTO balance to the maximum rollover amount: 80 hours, meaning the employee forfeits the excess 12 hours of PTO.
  • The employee’s normal accrual amount is added to the remaining balance. In this example, the employee’s normal accrual amount is  7.3846 hours. Your individual amount accrued will be based on your years of service and hours worked, it may vary from the example given.
  • The final balance that will show on the employee’s paystub or direct deposit advice will be 87.3846 hours.

Example Three: 

Employees who have a balance below the allotted 80 hours to be carried over will have the entire amount under 80 hours available on the 1/17/2020 paystub.
